Visitors
To ensure the safety of employees while on work premises, and to meet its complex regulatory requirements, Dow Aero (“Company”) has developed numerous visitor policies and procedures to account for a diverse range of guests.
Unexpected Visitors
The Company and its authorized employees, at their discretion, may choose to deny any unexpected visitors access to a Company facility or job site. These visitors may include:
Solicitors and sales agents; or
Part stocking suppliers.
When denied, an unexpected visitor shall be given the option to supply their information so that it may be provided to appropriate personnel. Exemptions are to apply to agencies and organizations that are authorized to perform random audits and inspections by either the Company or the following:
Federal, state, or local law;
e.g. Occupational Health and Safety Administration (OSHA), Oklahoma Department of Environmental Quality, etc.
Regulatory requirements.
e.g. Federal Aviation Administration (FAA)
In situations where an unexpected visitor meets an exemption, the appropriate department personnel shall be notified immediately. Unexpected visitors shall arrive and depart using the location’s main entrance and will be required to sign into the visitor’s log, where available.
Personal Visitors
Employees may not allow access to Company facilities or job-sites to personal visitors, unless prior approval has been provided ahead of the guest’s arrival by either the employee’s:
Direct/indirect manager or immediate supervisor; or
Department lead.
Determinations on whether a personal visitor is approved or denied shall be made on a case-by-case basis, in accordance with appropriate department policies and procedures. Approved personal visitors must arrive and depart using the location’s main entrance and will be required to sign into the visitor’s log, where available. Personal visitors are not permitted to enter restricted areas or ride within Company vehicles unless previous approval is provided by a Company executive. Under no circumstances shall an employee’s personal visitor use/operate Company equipment or vehicles. Personal visitors shall be the responsibility of the employee and are to be accompanied or kept within appropriate areas at all times.
Employees may bring personal visitors to Company events that allow visitors as appropriate. Specific rules can be provided for these types of special events that employee’s, and their guest(s), shall be expected to abide by as appropriate.
Children
Due to the nature of our operations, the presence of children at the workplace is generally to be avoided, with only possible exceptions given during an emergency situation and when approved prior to the child’s arrival. Determinations on whether an employee’s (parent) child is approved or denied shall be made on a case-by-case basis by either the employee’s:
Direct/indirect manager or immediate supervisor; or
Department lead.
Factors that are to be considered whether a child may accompany the employee include:
The age of the child;
The employee’s work environment;
How long the child will need to be present;
The frequency the child has been on Company premises;
The reasons why the child has to be on Company premises;
The child’s previous behavior while on Company premises (if applicable); and
Any possible disruption to the employee (parent) and their coworkers’ duties.
Requests for children that are ill with a potentially infectious disease shall be immediately denied to prevent the spread of the disease to individuals within the workplace. In the event the employee is needing to care for their ill child, the employee should request time off which is flexible in these types of situations. This request can be made on either a paid or unpaid basis; when eligible an employee’s available paid Wellness Leave accrual can be used in this situation.

Employees with dependent children that are enrolled in a Company medical plan may use links, files, and other resources within the Company’s Human Resources Information System (HRIS), currently BambooHR, to find an appropriate healthcare provider or service for sick children.

Children approved to be accompanied by the employee, must arrive and depart using the location’s main entrance, but are not required to sign into the visitor’s log, where available, when under the age of sixteen (16). Children are not permitted to enter restricted areas, or ride within Company vehicles, unless previous approval is provided by a Company executive. Under no circumstances shall an employee’s child use/operate Company equipment or vehicles. Children shall be the responsibility of the employee (parent) and are to be accompanied or kept within an appropriate area at all times.
If the frequency, length, or nature of visits becomes problematic, the employee (parent) shall be advised of the situation and is expected to make an acceptable resolution.
Employees may bring their child(ren) to Company events that allow children. Specific rules can be provided for these types of special events that employee’s, their guest(s), and child(ren) shall be expected to abide by as appropriate.
